Category Definition

The category definition screen allows you to define all the properties and attributes related to a single category. These attributes affect things such as how the category is used, the type of data that is stored by the category, and how data is manipulated by the system.

To add a new category:

  1. In the relevant application setup section, find the level where you want to add the category. For example, to add a new Address category, select Administration Company Setup Case Categories Address (A) Categories.
  2. Click the New Category button on the banner. The system displays a list of the unused categories within the selected data element.
  3. Select the category that you want to use, then click the Add button to continue.

To delete a category: 

Note: When categories and codes are no longer needed, we recommend that you consider making the category and codes inactive rather than deleting them. Inactivating prevents a code from being used on any new data entered into the system but preserves data for historical and reporting purposes.

  1. In the relevant application setup section, find the level where you want to delete the category. For example, to delete an Address category, select Company Setup Case Categories Address (A) Categories.
  2. Select the category that you want to delete.
  3. Click the Delete button. A confirmation dialog displays. If you choose to delete the category, any related category codes, migrations, migration codes, and dependent codes are also deleted.
  4. Type "DELETE" in the text box.
  5. Click the Delete button.

Category Fields

Every category definition contains the following fields:

Translations

If you support agents in multiple languages in your environment, you can enter translations for some of the category fields in each of the languages you support.

The Translations section of the screen will already contain one line for each of the Language IDs that are defined in your system. You can then optionally enter a translation for Category Name, Category Label, and Category Heading.

For agents who are set up to use a specific Language ID, they will see the appropriate translation if it is available. If a given translation is not available, the agent will see the standard value.

After entering or changing values, you must regenerate window layouts before the changes will take effect.

Sub Codes

You will only see this section if the category type is either "Code" or "Code+Table." It shows all the child codes (or subfolders, depending on how many levels are defined within the code hierarchy) within this folder. From here you can easily select one or more codes to be deleted.

You can also easily change the Active flag or the Display Sequence of all the codes at this level, rather than having to open each individual code and change it. Click the Update Display Seq button to reassign the display sequence based on the current sort.

Text Search Tab

The Text Search tab has a single text edit control that allows manual maintenance of the searchable word list associated with the category code. For more information, refer to Category Code Text Search Overview.

Note: Carriage returns and tab characters are not allowed. If they are used, when exiting the edit control, or when saving, a message displays that “Tabs and Carriage Returns are not allowed”. When you click the OK button, all the tab and carriage returns are removed from the entered text.
